A Zap is an automated workflow that connects two or more apps to perform tasks automatically. Each Zap consists of a trigger (an event that starts the workflow) and one or more actions (tasks that are performed as a result).

How Acrual Works with Zapier

Acrual supports both triggers and actions. Triggers initiate workflows when specific events occur in Acrual, while actions enable the creation or retrieval of data within Acrual based on inputs from other applications.

Triggers are events in Acrual that start an automation in Zapier. Acrual supports triggers for the following entities when they are created or updated:

  • Find an entity: Look up an existing record in Acrual. This helps you check for existing matches (e.g. Clients) before creating a new record. Supported entities are:
    • Clients
    • Quotes
    • Jobs

  • Create an entity: Add a new record in Acrual for:
    • Invoices
    • Time Entries

How to Connect Acrual to Zapier

Follow these steps to link Acrual with Zapier:

  1. Sign in to your Zapier account (or create one at zapier.com).
  2. Once logged in to Zapier, click "Create Zap" and choose Acrual as either the trigger or action app.
  3. Select the specific trigger or action you want to use.
  4. Connect your Acrual account by following the authorisation process.
  5. Configure any properties (if any) for the trigger/action.
  6. Test the connection when prompted to ensure everything is working correctly.
